Time tracking with clock-ins from the phone, allowed zones per site and hours ready for payroll under Colombian labor law.

Workers clock in, clock out and log their lunch break from their phone, with their location and even without signal. The company sees live who arrived, who's missing and who clocked in away from the work site, and closes each pay period with the hours already classified.

the challenge

Field staff hours were tracked on paper timesheets. There was no way to verify that a worker was on site when clocking in, a coworker could sign for someone else, and hours were added up by hand at the end of each pay period. On top of that, Colombian labor law is changing in stages (night hours now start at 7:00 p.m. and the Sunday surcharge keeps rising), so calculating surcharges by hand was increasingly error-prone.

the solution

We put the time clock on each worker's phone: an app installed from the browser that captures the location when clocking in, compares it with the allowed zone of their site and works even without signal. In the web dashboard, supervisors see their team's status live and review the day's incidents. A calculation engine classifies every hour using the legal parameters in force on each date, Colombian holidays included, and delivers a payroll summary in Excel.

what it solves

  • Paper timesheets are replaced by clock-ins that come straight from the phone
  • Every GPS clock-in records its location and distance to the site; one without a location is flagged for the supervisor to review
  • No signal doesn't stop clock-ins: they're saved with their real time and sent once there's a connection and the app is open
  • Each pay period closes with hours classified by surcharge type and ready in Excel
  • Changes to legal surcharges are loaded as parameters with an effective date, without reprogramming

what's included

  • Installable clock-in app

It installs from the browser, without going through the app store. A big button always offers the next step: clock in, lunch or clock out.

  • Offline clock-ins

Each clock-in is saved on the phone first and sent as soon as there's a connection and the app is open, with its real time and without creating duplicate records.

  • Sites and allowed zones

Each work site has a point and a radius on the map. Every GPS clock-in stores its distance to the site and whether it was inside or outside the zone.

  • Work-hours engine and labor law

It splits hours into day or night, regular or overtime, weekday or Sunday and holiday, with surcharges that change by effective date and Colombian holidays calculated automatically.

  • Daily dashboard and incidents

Who clocked in, who's missing, who arrived late and who clocked in outside the zone. Incidents are approved or rejected with a reason, and leaves and sick days are recorded by date range.

  • Payroll and audit reports

Hours worked, a payroll summary citing the regulation behind each surcharge and per-employee detail, exportable to Excel. Every change is logged.
