A platform for service stations that turns point-of-sale transactions into DIAN electronic invoices instantly, posts those sales to Siigo Nube accounting without re-entering them and monitors the tanks with connected sensors.

the challenge

A service station has to solve three things at once. Issue a valid electronic invoice for every sale, with the CUFE and QR code on the receipt, without stopping operations when the DIAN or the technology provider fails and without duplicating invoice numbers. Post thousands of sales to accounting, something that used to be done by hand, with the risk of typos, duplicated income or missing sales. And know at all times how much fuel is in the tanks, detect water or overfills and verify that each tanker truck unloads what the supplier's invoice says.

the solution

We built an invoicing API that receives each sale from the POS, takes the next number from the current resolution, calculates the CUFE, builds the UBL 2.1 XML and transmits it to the DIAN through the authorized technology provider. If the DIAN doesn't respond, the sale stays pending and is retried without being lost. On top of that same information, an accounting module posts accepted sales to Siigo Nube as a daily voucher, creates any missing customers and reconciles against Siigo before sending. A web portal completes the system with sensor-based tank monitoring, delivery detection, alerts and per-shift reports.

what it solves

  • The POS instantly receives the invoice number, CUFE and QR code to print the receipt
  • If the DIAN or the provider fails, the station keeps selling: documents stay pending and are retried
  • Neither retries nor simultaneous sales generate duplicate invoice numbers
  • Sales reach Siigo in daily vouchers, with no re-entry and no duplicates, and every submission can be simulated first
  • Tank inventory is visible in real time and tanker deliveries are detected automatically

what's included

  • Electronic invoicing at the point of sale

POS sales are recorded as electronic invoices on the spot: DIAN resolution numbering, buyer identification with their tax profile, CUFE and QR code for the receipt.

  • DIAN transmission with contingency

The UBL 2.1 XML is sent to the technology provider, which signs and transmits it. If something fails, the document stays pending and is retried; the system confirms the filing instead of assuming it.

  • PDF, XML and credit notes

Once accepted, each invoice generates its PDF and its official container, which reach the customer's email. Voids are handled with an electronic credit note from the portal.

  • Accounting in Siigo Nube

Sales accepted by the DIAN are booked in Siigo as a daily voucher. Missing third parties are created, everything is reconciled against Siigo and each submission can be simulated first.

  • Real-time tanks

Tank sensor readings arrive over MQTT: level, volume, water and temperature, with projected days of inventory and the space available for the next delivery.

  • Deliveries, alerts and reports

The portal detects tanker deliveries on its own, emails alerts for water, overfills or abnormal pressure (and WhatsApp alerts when there's water in a tank) and automatically sends each shift's reports.
