The festival's own ticketing platform for Medallo Motors Fest 3.0 in Bello, Antioquia. It sells tickets paid by bank transfer, Nequi, Daviplata or Bre-B, issues a unique QR code per attendee and controls entry at several gates at once. It also measures advertising: it shows where buyers come from and reports every confirmed purchase to Meta, TikTok and Google Analytics.

the challenge

The festival expects thousands of attendees over two days, and the organizers didn't want to pay a per-ticket fee to a payment gateway. Selling by bank transfer without a tool means checking receipts over chat, keeping lists in Excel and sending tickets by hand, with the risk of approving the same payment twice or letting a copied ticket in twice. They also had to handle two-day passes, tickets valid only on their date and VIP boxes for eight people. And since sales are driven by social media ads, the organizers needed to know which campaign actually sells, even when the payment is confirmed hours later, once the team approves it.

the solution

We built a platform with the event's branding that organizes the whole process. Buyers reserve their tickets from their phone, pay and upload the receipt. The sales team reviews the payment and approves it with one click; the system warns them if that receipt, reference or ID number already appears in another order. On approval, a unique QR code is generated for each person and delivered by email as a PDF and over WhatsApp. At each gate, a USB scanner or a phone camera validates the QR code, which is then marked as used for that day. For advertising, the site measures every visit with Google Analytics, Microsoft Clarity and the Meta and TikTok pixels; when the team approves a payment, the server reports the purchase to each platform, tied to the ad it came from.

what it solves

  • Sales with no per-ticket fee: the money goes straight to the event's account
  • Each QR code allows a single entry per valid day, even if two gates scan it at the same time
  • Alerts when a receipt, reference or ID number already appears in another order
  • Unpaid reservations get a reminder and release their spot when they expire
  • The platform is reused for every edition of the festival just by configuring it
  • Every approved purchase reaches Meta, TikTok and Google Analytics tied to the ad and visit it came from, even if the payment is approved hours later
  • Heatmaps and session recordings show where buyers click and at which step they abandon the purchase

what's included

  • Purchase from the phone

Buyers choose their tickets, get an order code to use as the payment reference and upload a photo or PDF of the receipt. A personal link lets them check their order status.

  • Payment verification

The team reviews each receipt and approves or rejects it with a reason. The system detects repeated receipts, references and ID numbers so the same money is never approved twice.

  • QR tickets by email and WhatsApp

On approval, a unique QR code is issued for each attendee in a PDF with the event's design. It arrives by email and WhatsApp, automatically or with one click from the admin panel.

  • Gate access control

A web scanner that works with a USB reader or a phone camera. It responds full screen in green, red or amber, and logs the gate, time and user of every entry.

  • Dashboards, box office and reports

Revenue, orders pending verification and the online sales funnel, live; on event day, entries per hour and per gate against capacity. The box office and complimentary tickets draw from the same allocation as online sales, and everything exports to Excel for closing.

  • Analytics and campaigns

Google Analytics 4 and Microsoft Clarity show where buyers come from, where they click and at which step they drop off. The Meta and TikTok pixels, plus the conversions the server sends when each payment is approved, tell each platform which ad led to a real purchase. The private order and ticket pages load no trackers.
